Understanding AI Integration and AI Automation: A Guide
As AI technology continues to grow, it’s important to keep up with how it affects not only your day-to-day life, but areas specific to your profession. For example, for event organisers, there are a wide range of ways you may be able to leverage AI to make your life easier. In fact, the right use of AI may be able to free you up to focus on more creative or in-person jobs that need your experience to handle.
You’ve probably already seen how new technologies like AR and VR are changing the industry (we’ve even written a guide on it); we’ve also covered how AI in general is impacting the future of exhibitions. But what about AI automation and integration more specifically?
In this article, we’ll explore the key types of AI automation and integration, and what they may mean for future event organisers…
AI integration vs AI automation: what’s the difference?
AI integration and AI automation are both terms that are thrown out a lot. But what do they actually mean? And, what is the difference between them?
AI integration
A simple definition of integration is where more than one thing is brought together effectively; we often use it in the sense of people, for example, schools integrate pupils from multiple primary schools into one secondary.
When it comes to AI integration, this definition doesn’t really change. Instead, this process incorporates AI into preexisting systems to improve their functionality and efficiency. There are several different types of AI that can be embedded into systems for better integrated technology, including but not limited to:
● Pre-trained AI models that are created for common purposes.
● Custom-trained AI models that can complete business-specific tasks.
● Conversational AI which uses language processing to interact with users.
● Predictive analytics that use previous data for forecasting various scenarios.
● Autonomous AI tools which operate without direct oversight without human intervention.
● Augmentative AI that focuses on working together with human intelligence, rather than as a replacement in itself.
Using AI integration
The examples we gave above are more generalised for how AI integration is seen within the wider field of technology. But, if we look a little closer, integrated AIs can help you as an exhibition planner with a variety of tasks.
● Data analysis: using AI analytics helps to digest complex information quickly, which can be used after an event to evaluate the success of the exhibition.
● Trend prediction: feeding an integrated AI system with historic data, this technology can help to predict trends to help with planning future events.
● Idea generation: using a specific data set, augmentative AI can help to kickstart your creative process and find new ideas related to your data set.
AI automation
AI automation is a subset of AI integration, where the types of technology you use are designed to automate or complete simple, routine tasks. This can help you to massively boost your efficiency, reduce stress, and allow you to focus on areas that need the human touch. AI automation can include the following technologies:
● Predictive AI for analytics and data comprehension.
● Machine learning within an existing system can recognise patterns and provide more efficient and accurate information based on the data sets it learns from.
● Natural language processing allows AIs to interpret and understand human speech, for example in text to speech data, summarising information, or communicating with AI assistants like Alexa or Siri.
Using AI automation
Automation can be hugely valuable as an exhibition planner, because time has a large impact on planning stages and beyond. Using AI automation can be incredibly efficient, whilst also offering your guests an improved exhibition experience. We’ve included some examples below of where AI automation can support your event.
● Customer service and interactions: integrating AI chatbots and virtual assistants allows you to direct common questions and routine queries to a more automated source, giving you more time to handle more specific or unique requests from attendees or exhibitors. You can also use AI to help with email generation, and event personalisation based on customer interactions.
● Video or language transcription and translation: AI automation can be used to instantly translate or transcribe visual or audio materials. This improves the accessibility of your content to deaf/HoH visitors, as well as people where English isn’t their first language.
● Invoice processing: paying your vendors is essential. AI automation can help you to process invoices quickly and efficiently to maintain strong business relationships.
Benefits of using AI automation and integration in event planning
We’ve touched on several advantages of AI integration throughout this article, but let’s look at them in more detail.
● Boost efficiency and productivity: using AI automation helps to organise and complete smaller, routine tasks that can otherwise be quite time consuming. This helps you to become more efficient during the planning and delivery of your exhibition. It also allows you more time to focus your energy and expertise where it will be more valuable.
● Improve guest experience: integrated AI technology makes personalising the exhibition experience for each unique guest much easier. This supports better engagement with your material and the event as a whole. Real-time AI systems can also help guests navigate the exhibition and answer questions on the day for instant support.
● Simplify decision-making: using integrated AI for analytics helps you to make more informed decisions that can benefit your exhibition. For example, you can make better choices around staff numbers, catering, and the space you need.
● Easier post-exhibition analysis: AI can help you to analyse post-event data more easily, helping you to understand key areas that worked or ways to improve for next time.
● Improve accessibility: using language processing tools, AI transcription, and even chatbots can make your exhibition more inclusive and accessible to a wider audience.
